Data Protection Statement of the AIAE
The AIAE takes the protection of your personal data very seriously. We want you to know when we store which data and how we use it when you visit the website of the AIAE. Personal data are collected on the central web server of the AIAE (www.exeurocontrol.eu) only to the necessary extent. Under no circumstances will the data collected be sold or passed on to third parties for any reason.
The following statement in accordance with Article13 of the General Data Protection Regulation (GDPR) gives you an overview of how we guarantee this protection and what kinds of data are collected for what purposes.

3. Purposes, duration, and legal basis of the processing of personal data
3.1 Use of members personal data
When you register as a member of AIAE the following personal information is transmitted to the AIAE by the EUROCONTROL Agency:
- Name
- Address
- Telephone number
- Mobile phone number
- Email address
- Method of payment of your Membership fee
- Date of birth, nationality, date of pension
This information is required to manage your Membership, and in particular for internal record keeping and financial compliance. It will be kept for the duration of your membership.
Furthermore, in pursuance of the AIAE’s aim “to maintain and develop the bond of friendship between Former Officials of EUROCONTROL and to provide a real and effective link between them and EUROCONTROL” your name and contact details will be published in the AIAE’s Directory, available under the protected part of the AIAE’s website or, upon request, as printed version. In order to be able to comply with this aim, as a minimum your name and one contact detail, such as your email address or phone number, will need to be published.
The information provided will also be used in pursuit of the AIAE’s legitimate interests in the framework of its aims (Article 3 of the Consolidated Articles of Association) to:
- Invite Members to the Annual General Assembly and annual dinner, and to encourage them to attend by sending them the required information and booking details by mail or email.
- Promote and encourage participation in other AIAE events (meetings of its members, conferences, social activities) by sending members’ communications and booking information for such events. The events may also be photographed or filmed, and your personal information may also be used in images captured from these events, to be published in the protected part of the AIAE’s website.
- Respond to and communicate with Members regarding their questions, comments, support needs or complaints, concerns or other in relation to their status as former staff member of EUROCONTROL or as Member of the AIAE. Any complaints should be notified to the Chairman of the AIAE who may use the personal information to investigate the complaint.
- For statistical purposes.
The legal basis for the processing of the personal data in this context is Article 6 paragraph 1 (b) of the GDPR.
While your personal information is used exclusively in pursuit of the AIAE’s aims and legitimate interests, you have the right to object to the use of your personal information for the above purposes. If you wish to object to any of the above processing, please contact the Chairman of the AIAE.
If it is agreed to comply with your objection, this may affect the AIAE’s ability to undertake the tasks above for the benefit of you as a Member.
3.2 Web protocols of the central WWW server
The AIAE collects and automatically stores information your browser sends in the protocol files of the web server. This includes:
- browser type and version
- computer name or IP address of the accessing computer
- time of the request to the server
- requested website
The temporary storage of the IP address by the system is necessary to enable the website to be delivered to your computer. To do this, the IP address of your computer must remain stored for the duration of the session.
In addition, the data helps us to ensure the security of our information technology systems and to optimize our website. An evaluation of the data for marketing purposes does not take place in this context.
Of the above data, the IP address is considered to be personal. Your IP address will be stored for a maximum of 28 days and then completely anonymized (deleted or alienated). After that time, the above data is no longer personal. It shall be deleted as soon as it is no longer necessary to achieve the purpose for which it was collected.
The legal basis for the temporary storage of data and log files is Article 6 paragraph 1 (f) of the GDPR, because the AIAE has a legitimate interest in identifying and eliminating malfunctions and in optimizing its website.
3.3 Links to Other Websites
The AIAE’s website may contain links to other websites or articles of interest. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. Therefore, we cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this data protection statement. You should exercise caution and look at the privacy statement applicable to the website in question.
4. Your rights
Every person affected by the processing of personal data has the right, in accordance with the legal provisions, to request free information or confirmation from us regarding the personal data stored about him or her.
In addition, you have the right to the immediate correction or deletion of incorrect personal data concerning you, or to the restriction of the processing, or to object to the processing. (However, the collection of data for the provision of the website and the storage of data in log files is necessary for the operation of the website. Consequently, there is no possibility of objection in this respect.)
You can revoke your consent to the processing of personal data at any time. This does not affect the legality of the AIAE’s processing of your data until your revocation.
You do not need to do anything for your Membership to continue as it does presently, however if you do wish to change your preferences regarding your data, please contact the Chairman of the AIAE.
